AI Use Policy

Tanca uses artificial intelligence (AI) to help businesses recruit and manage their people faster. This page explains what our AI does, how customer data is handled, the role humans play in reviewing AI output, and what Tanca's AI must not be used for. This policy forms part of our Terms of Use and Privacy Policy.

1. What our AI is used for

CV screening: reads candidate CVs, compares them with the job requirements set by the employer, scores the fit and explains why.
AI interviews: interviews candidates by chat or voice using a question set approved by the employer, then summarises the answers.
HR reports and analytics: summarises attendance, shift and workforce data, and flags anomalies for managers to check.
Assistants and chatbots: answers questions about internal policies and how to use the software; suggests shift schedules and draft content.

AI features are paid for with Tanca Credit or a monthly AI Agent rental, as published on our pricing page.

2. How customer data is handled

Our AI only processes data the customer puts into Tanca (for example CVs, interview answers, attendance data), and only to deliver the feature the customer asked for.
Customers own their data. Tanca does not sell customer data and does not use it to train AI models.
Some features use AI models from third-party providers. Data is sent only as far as needed to process the request, over encrypted connections, under contracts that forbid the provider from using it for any other purpose.
Data is protected and retained under our Privacy Policy and Vietnam's Decree 13/2023/ND-CP on personal data protection. Customers can request deletion of their data at any time.

3. Humans review AI output

AI output (CV scores, interview assessments, anomaly alerts, reports) is a recommendation, not a final decision. AI can be wrong.
Every decision that affects a person — hiring or rejecting a candidate, discipline, payroll, termination — must be reviewed and made by an authorised person at the customer.
Customers must tell candidates when they are being interviewed or assessed by AI, and give them a way to reach a human.

4. Prohibited uses

Discriminating on the basis of gender, age, ethnicity, religion, marital status, pregnancy, disability or any other legally protected characteristic.
Making fully automated hiring, firing or disciplinary decisions without human review.
Monitoring employees beyond what the law allows, or without informing them.
Uploading data the customer has no right to collect or process.
Generating fraudulent, impersonating or unlawful content, or posing as a real person to mislead candidates.
Attempting to bypass safety limits, extract the models, or access other customers' data.

Tanca may suspend AI features or accounts that breach this policy, in line with our Terms of Use.
